A monthly pack, not just transaction entry

The scope starts with the accounts, entities and systems that matter to your business. Your written proposal identifies the work included and the information we need.

  • Bookkeeping against an agreed chart of accounts and entity structure
  • Bank, credit-card and in-scope payment-processor reconciliations
  • Payable, receivable and intercompany schedules where included
  • A close summary and dated open-items list with responsibilities
  • Financial reports identified as draft or final, with material limitations explained

Catch up before building the monthly rhythm

Behind on the books or changing providers? We first review the file, identify gaps and agree a separate cleanup scope. Historical corrections stay documented. We do not promise a finish date before seeing the records.

Your books don't live in one system

Activity can start in QuickBooks Online, Xero or Sage; payroll/provider records; property and short-term rental systems; Jane and other healthcare practice systems; e-commerce and point-of-sale tools; or the bank. Payment processors may include Stripe, Square, PayPal, Shopify Payments, Clover, Moneris, Global Payments, Helcim, Adyen, Chase Payment Solutions, Worldline and Elavon. We assess exports, permissions, available APIs and reconciliation needs before agreeing a workflow. Mentioning a platform does not mean a direct integration is live.

One place for the questions that matter

Missing documents and unexplained differences should not be buried in an email chain. An open-items list identifies the account or period affected, the evidence required, the owner of the next action and its target date.

A close schedule both sides can meet

We agree input, review and delivery dates. Late or incomplete source information is flagged, with its effect on the reporting timeline. The objective is a predictable process, not a report marked final before the evidence is available.

What determines the scope and price?

The number of entities and accounts, transaction sources, history needing cleanup, reporting requirements and additional workflows affect the proposal. We confirm the monthly scope and any separate onboarding or cleanup charges before work begins.

Frequently asked questions

Can you take over an existing QuickBooks file?

We can assess the current file and propose a transition. Existing access, historical exports, reconciliations and unresolved questions are reviewed before a cutover is agreed. A software connection alone is not a completed handover.

Does monthly bookkeeping include tax filing or payroll?

Not automatically. Payroll records, processing, tax preparation, filing and payment approval are different tasks. Your scope identifies what Rybair handles and what remains with your business or specialist advisor.

Will you work with our accountant?

Yes. The proposed workflow can include supporting schedules, year-end preparation and a documented handoff to your accountant. We agree who makes technical decisions and who performs each filing.

Do we need to share bank passwords?

We prefer appropriate delegated access or approved exports rather than shared personal passwords. The required permissions and document-transfer method are agreed during onboarding.

Service scope, access, responsibilities and delivery dates are agreed in writing. Tax, payroll and jurisdiction-sensitive work is assessed before engagement; assurance and legal services are not included.
