Rybair supports the financial administration of medical practices and clinics through scoped bookkeeping, reconciliation, expense records and reporting. We work around the practice’s business structure and existing advisors, and agree a controlled approach to the information required.

Reporting for the practice as a business

A useful close brings receipts, payment-processor settlements, costs and outstanding balances into a consistent view. Multi-provider or multi-location reporting needs the relevant agreements and classifications rather than assumptions about how earnings are shared.

Use the minimum information needed

Financial workflows should not casually collect patient or clinical records. We agree secure access and suitable extracts with the practice. Please do not include patient information, health numbers or clinical documents in an initial website enquiry.

Assess the practice systems, not assumed integrations

We can assess financial extracts from Jane and payment records from Stripe, Square, Moneris, Clover or PayPal. Payroll records from QuickBooks Payroll, Wagepoint, Payworks, ADP, Dayforce (formerly Ceridian) or Humi can also be reviewed where relevant. These are examples for assessment, not live integrations; patient records are not required for the initial enquiry.

Keep technical decisions with the right advisor

Tax treatment, incorporation questions, provider agreements and payroll obligations need review for the specific practice. We do not assume that all healthcare revenue has the same treatment, or that a bookkeeping package includes specialist tax advice.

Frequently asked questions

Can you work with our practice accountant?

Yes. We can agree a recurring bookkeeping pack and year-end handoff, with technical decisions and filings clearly allocated between the practice, Rybair and your accountant.

Do you need access to patient records?

The starting objective is to obtain the financial information needed without unnecessary patient data. Exact access and secure-document procedures must be agreed with your practice before onboarding.

Do you offer payroll?

Payroll record support or coordination can be scoped. Processing, employment advice, remittances and payment authority are separate responsibilities that need to be explicitly agreed.

Can we use Jane without sharing patient files?

We first assess whether appropriate financial summaries can support the agreed reconciliation. Access and data minimization are reviewed with the practice; a direct integration is not assumed.

Service scope, access, responsibilities and delivery dates are agreed in writing. Tax, payroll and jurisdiction-sensitive work is assessed before engagement; assurance and legal services are not included.
